Privacy Policy

This policy applies to Scrivano LLC, a Florida limited liability company. We collect the minimum data necessary and never use it for AI training. Here is exactly what we collect, why, and how it is protected.

Information We Collect

We collect the minimum personal data necessary to provide our service. This includes:

  • Email address — used for account creation, login, and essential service notifications.
  • Audio recordings — temporarily processed to generate transcriptions. Audio is not permanently stored unless explicitly saved by the user.
  • Usage and error data — including device IP address, device name, OS version, app configuration at time of error, and timestamps. Collected only when errors occur to help us improve the service.

How We Use Your Information

Your data is used solely to provide and improve the Scrivano service. Specifically:

  • To create and manage your account.
  • To process audio and generate transcriptions and notes on your behalf.
  • To send essential communications such as account confirmations and security alerts.
  • To diagnose technical issues and improve service reliability.
  • We do not use your data to train AI models. We do not sell or rent your data to third parties.

Third-Party Services

Scrivano integrates with the following third-party services to operate:

  • OpenAI — audio transcription (Whisper) and AI note generation (GPT). Audio and text are processed under OpenAI's data policies. Scrivano has executed a Business Associate Agreement (BAA) with OpenAI covering this processing.
  • Supabase — secure database and authentication infrastructure.
  • Stripe — payment processing. We do not store credit card numbers.
  • Vercel — web application hosting and content delivery. Your requests to the Scrivano web app are routed through Vercel's infrastructure.
  • Trigger.dev — background job processing used to run transcription and note generation tasks asynchronously.
  • Apple App Store / Google Play — may collect identifying device information per their own privacy policies.
  • All service providers are contractually obligated to handle your data with confidentiality.

Cookies

Scrivano does not use tracking cookies for advertising or analytics purposes. Session cookies may be used to maintain your authenticated session while using the web application. Third-party services embedded within the app (such as Stripe for payments) may use their own cookies subject to their respective privacy policies. You may disable cookies in your browser settings, though this may affect functionality.

Data Security

We take the security of your data seriously and implement industry-standard safeguards:

  • AES-256 encryption for all sensitive data stored at rest, including API keys.
  • TLS encryption for all data in transit between your device and our servers.
  • Per-user encryption keys ensure that one user's data cannot be accessed by another.
  • We acknowledge that no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we continuously work to protect your information.

Data Retention

We retain your personal data only as long as necessary to provide the service or as required by law. You may request deletion of your account and associated data at any time by contacting support@scrivano.net. Upon account deletion, personal data will be permanently removed from our active systems within 30 days. Certain anonymized, aggregated data may be retained for service improvement purposes.

Your Rights & Choices

You have the following rights regarding your personal data:

  • Access: you may request a copy of the personal data Scrivano holds about you by contacting support@scrivano.net.
  • Correction: you may update your profile information at any time through the Settings page in the app.
  • Deletion: you may permanently delete your account and all associated data at any time using the Delete Account button in Settings → Security (web) or Settings on iOS/Android. Deletion is immediate and irreversible. Note: we retain your email address after deletion solely to prevent free-credit abuse. It is not used for any other purpose and is not shared with third parties.
  • Objection / Opt-out: you may opt out of non-essential communications at any time by contacting support@scrivano.net.

California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to Know: you may request disclosure of the categories and specific pieces of personal information we have collected about you.
  • Right to Delete: you may request deletion of your personal information, subject to certain exceptions permitted by law.
  • Right to Non-Discrimination: we will not discriminate against you for exercising any of your CCPA rights.
  • Do Not Sell: Scrivano does not sell your personal information to third parties.
  • To exercise any of these rights, contact us at support@scrivano.net. We will respond within 45 days as required by California law.

Children's Privacy

Scrivano is not directed to individuals under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child under 13 has provided us with personal information, we will take immediate steps to delete such data. If you believe a child has provided us with their information, please contact support@scrivano.net.

International Users

Scrivano is operated from the United States. If you access the Service from outside the United States, your data will be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using Scrivano, you consent to this transfer. We apply the same data protection standards described in this Policy to all users regardless of location.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make significant changes, we will update the effective date at the top of this page and may notify you by email. Your continued use of Scrivano after any changes constitutes acceptance of the updated policy. We encourage you to review this policy periodically.
